Convene had successfully integrated new features to accommodate our internal processes. The software has helped us tremendously in digitizing the manual meeting processes from pre to post meetings. I also appreciate very much the support given by the Convene sales and support teams from the very initial stage of shortlisting until the final stage of onboarding the users across the region. The presentations and trainings have also successfully kept the users engaged with the new software.
"We received very good feedback from some of the other Queensland government departments, notably the Department of Premier and Cabinet; Convene was really working well for them. They were using it across multiple departments for government meetings, and they did not experience any problems. I think having feedback from other government sector colleagues also supported the decision in us choosing Convene."
Convene provides an easily accessible and secure platform to help us manage our board and committee meetings. The platform security and the ability to set access permissions on an individual and group level is particularly important to us in order to maintain data security in relation to confidential and sensitive information. User support from Convene is always quick and helpful.
“We had a board portal in place before switching to Convene. The reason for the switch was that BoardPad didn’t support Android. We had just released a device that was made by us and ran Android, so obviously the board wanted to promote using it within Tesco. It was a case of ‘eat your own dog food’ so we needed to find a solution that could continue to fulfil the need as well as work on Android. We did a comparison with other board portals like Diligent, but Convene impressed us the most.”
“Before using Convene we’d tried a different product, but it hadn’t worked out. The board meeting software didn’t do what we needed it to do. It wasn’t very user friendly and we were constantly frustrated. If there was a system update, it lost all the historical files. It also didn’t work across all platforms either. Our organization uses Windows and the first part of a meeting would be spent faffing about with the technology, instead of getting on with the agenda.”
"The main driver for switching to Convene was the amount of time and money we were spending on printing. The average board pack was 104 pages, with 14 participants and 11 meetings a year. That’s 16,000 pages. Then for the Trust Executive Group, which has 12 meetings a year, we were printing another 42,500 pages.”
“At CAFCASS, we’re always looking to be innovative and do more for less money, so it was the Director of Resources who suggested we look to use a digital solution for our board packs. We prepared the business case for change. We looked at the average size of the board pack, the printing costs, how long it took to put the packs together, and the cost of postage. Then we compared that to the cost of purchasing Convene, and also the cost of buying tablets for all the board members, and it worked out as we’d make savings by going digital.”
“With security of the utmost priority for us, e-mail was not a secure enough option. With Convene, we received centralized access allowing all files to be viewed without leaving the application and customized access so we retained full control of who could view which meetings and documents.”
“Before choosing Convene, we assessed several board portal software packages against a series of detailed criteria. We had been using a different board portal software for two years already, but when the time came to go out to tender, Convene was the one that met our criteria the best.”
"We used to print the materials and hand them out to the participants at the start of each meeting. When board packs reached as much as three-hundred pages, it would take us the whole weekend photocopying and preparing everything. Now, thanks to Convene, none of that is necessary.”
“The directors saw how easy it would be to review the whole agenda with Convene, as well as keep up with the board chair when running actual meetings.”
“Convene was already up and running before his move, and when we held a board meeting with Convene, it was easy for him to follow the meeting. The Chairperson who ran the meeting turned the pages for the other attendees, which made the process run smoothly, and it also removed the need for any attendee to spend time flicking through pages to find the specific information they needed.”
“Our board packs used to be at least 200 pages long and exceeded 400 pages if an Annual Report was included for approval. Before using Convene, it normally took us more than three hours just to print these board packs the night before the board meeting. Back then, we would have to carefully choose which pages should be printed in color to save printing costs. We had to stay late in the office to make sure we printed the materials in time for the board meeting the next day.”
"Considering it was done during the lockdown, it went extremely well. All board members are actively using Convene and becoming more familiar with its features.”
“Convene’s global 24/7 Customer Support greatly contributed to our seamless transition from BoardPad. They are very helpful and responsive, and consistently provide excellent customer service.”
